This policy explains what personal information JADAMSTUTOR LTD collects, why we collect it, who we share it with, how long we keep it, and the rights you have. Most of our pupils are under 18, so we have written it with parents and guardians in mind. If anything is unclear, please contact us.
1. Who we are
JADAMSTUTOR LTD is responsible for your personal information. We are the "controller" under UK data protection law. We are a company registered in Scotland under company number SC871178, with our registered office at 15 Malletsheugh Wynd, Newton Mearns, Glasgow, Scotland, G77 6WX. We are registered with the Information Commissioner's Office (ICO) under registration reference ZC163601.
2. What we collect
When you book a session or subscribe
- The parent or guardian's name, email address and phone number. If a pupil aged 16 or over books for themselves, these are the pupil's own details.
- The pupil's first and last name, year at school, and, if they have them, their own email address and phone number.
- The subjects and levels the pupil wants help with, and the tutor, date and time booked.
- Payment details. Payments are handled by Stripe. We see the amount, date and status of a payment, but we never see or store full card details.
- Our own notes about sessions, such as attendance and the pupil's progress.
When you contact us, leave a review or apply to tutor
- Anything you send us by email, phone or message.
- Reviews: the name you give, your rating and your review.
- Tutor applications: your name, email address, phone number, the subjects you can teach and what you tell us about yourself.
We do not ask for information about health, special educational needs or other sensitive matters. If you choose to tell us something like this because it helps the pupil's tutoring, we will only use it for that purpose and will keep it to the people who need it.
3. Why we use it and our lawful basis

We do not sell personal information, and we do not use it for automated decisions that have a legal or similarly significant effect on anyone.
4. Children's information
Most of our pupils are under 18. Where a pupil is under 16, we collect their information from their parent or guardian, who makes the booking. Pupils aged 16 or over may book for themselves and can exercise their own data protection rights. We collect only what we need to arrange and deliver tutoring, and we share a pupil's details only with the tutor teaching them and the services listed below.
5. Who we share it with
We share personal information only where we need to, with:
- Our tutors, who see the details of the pupils they teach.
- Acuity Scheduling (part of Squarespace), which runs our booking calendar and stores booking details.
- Stripe, which processes payments and subscriptions.
- Netlify, which hosts this website.
- FormSubmit, which delivers messages from the review and tutor application forms on this website to our email. It forwards each message and says it does not keep a copy.
- Zoho, which provides our email.
- Our office software providers, which store our records.
- Anthropic, which provides Claude, an AI assistant we use to help keep our pupil records and administration in order.
- Our bank, accountants and professional advisers, where needed for our accounts and tax.
- Authorities, such as HMRC, the police or a local authority, where the law requires it or to protect a child.
These service providers act on our instructions and must keep your information secure.
6. Information sent outside the UK
Some of the services we use store or process information outside the UK. Each transfer is protected as follows:
- Acuity Scheduling (Squarespace), Stripe and Netlify are based in the United States and are certified under the UK Extension to the EU-US Data Privacy Framework, which UK law recognises as giving adequate protection.
- Anthropic is based in the United States and protects transfers with standard contractual clauses approved for international transfers.
- Zoho holds our email in the European Union, which UK law recognises as giving adequate protection.
- FormSubmit is based in India. It passes messages from our website forms straight to our email. Please do not include more personal information in those forms than you need to.
You can ask us for more detail about any of these safeguards.
7. How long we keep it
- Pupil and booking records: while the pupil has sessions with us, and for up to 2 years after their last session, so we can deal with questions and welcome them back. After that we delete or anonymise them.
- Payment and accounting records: 6 years from the end of the financial year they relate to, because the law requires it.
- Reviews: for as long as they are published, or until you ask us to remove them.
- Unsuccessful tutor applications: 6 months.
- Emails and messages: for as long as they are needed for the matter they relate to, and no longer than the periods above.
8. How we keep it safe
We use reputable service providers, limit access to the people who need it, and protect our accounts with strong passwords and two-step sign-in where it is available. No system is perfectly secure, but if a breach happens that puts you at risk, we will tell you and the ICO where the law requires it.
9. Cookies
This website does not use analytics or advertising cookies. Some embedded services may set their own cookies when you use them:
- The booking calendar, run by Acuity Scheduling, may use cookies needed to make and manage your booking.
- Videos on this site, including our tutorial and revision videos, use YouTube’s privacy-enhanced mode and only load from YouTube when you choose to play them. Their preview images are hosted on our own site.
- Our fonts are loaded from Google Fonts, which receives your device's IP address to deliver them.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you or your child;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use your information;
- object to us using your information, including for contacting you about further tutoring;
- ask us to send your information to you or another organisation in a usable format; and
- withdraw consent at any time, where we rely on consent.
Some of these rights have limits. For example, we must keep accounting records for 6 years. To use any of these rights, email [email protected]. We will reply within one month. There is normally no charge.
11. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
12. Changes to this policy
We may update this policy from time to time. We will post the current version on this page, with the "Last updated" date above. If a change significantly affects how we use your information, we will tell you before it takes effect.
